Understanding the Grant Application Process

How It Works

Applications for grants must be submitted by 4:30 PM on the following deadlines each year: June 2, September 2, December 2, March 2

If a deadline falls on a weekend or holiday, applications will be accepted until 4:30 PM on the next business day.

We issue a call for proposals and make application forms available 45 days before each deadline to give applicants plenty of time to prepare. Make sure your application is complete and submitted on time to be considered!

Step 1: Submission

Applications are received, date-stamped, and recorded.

Step 2: Review

Approximately 10 days after the deadline, the Board of Directors meets to review applications and allocate funds.

Step 3: Notification

Within two weeks of the review, applicants are notified in writing of the outcome.

Step 4: Funding Advancement

Approved applications receive funding advancements based on the payment schedule outlined in the approval letter. Cheques are sent by registered mail or can be picked up.

Step 5: Releasing Funds

The remaining funds are released once all requirements of the Follow-Up Report process have been completed. (See Below).

Follow up reporting

Follow-Up Reporting Additional Details:

  • An adjustment will not be made if the final project costs are higher than originally projected.
  • The fund recipients must keep all original documentation for a period of seven (7) years.
  • Late or incomplete Follow up Reports will result in final payments being withheld until such time that the reports are received to the satisfaction of the General Manager.

Complete the Follow-Up Report

After the project is completed, organizations must fill out the provided Follow-Up Report form, detailing the expenditures for the approved project.

Submit the Report

Submit the completed Follow-Up Report within 60 days of the project completion date.

Adjustments for Lower Costs

If the final project cost is less than originally estimated, the eligible funding will be adjusted to reflect the lower cost. Any overpayment will need to be refunded to the BATC CDC.

Return Unused or Misused Funds

Any unused funds or funds spent on unapproved purposes must be returned to BATC CDC for redistribution to other projects.
